Anything outside of this will incur a full day parking rate set by venue. Some venues charge taxes and admin fees. Please verify with your venue. Special event pricing (e.g., concerts, game days, conventions) may apply. For example, The Venetian charges $40 per day Thursday–Sunday, even for locals. ADDITIONAL NOTES Failure to provide any of the above requirements may result in delays, additional charges, or inability to perform. Stadium Dance appreciates your cooperation in ensuring a smooth, safe, and professional entertainment experience. WARDROBE / COSTUME POLICY Our wardrobe policies have recently been updated to ensure all costume elements meet professional standards of cleanliness, consistency, and presentation for every event. All performances require the exclusive use of official Stadium Dance wardrobe. Client-supplied costumes, accessories, replacement pieces, or any personal wardrobe items are not permitted under any circumstances. This includes, but is not limited to, personal shoes, clothing, accessories, hosiery, or undergarments intended to supplement or replace any component of an approved costume look. Performers are strictly prohibited from using personal or self-provided wardrobe pieces. Previous reliance on talent-owned items resulted in inconsistent appearance standards, cleanliness concerns, missing or forgotten garments, and last-minute wardrobe disruptions. To ensure uniformity and professionalism, all costume elements will be provided solely by Stadium Dance. CLIENT-DIRECTED WARDROBE THEMES & STYLING REQUIREMENTS If the Company requests a specific visual theme or styling direction, Stadium Dance will curate wardrobe options from its in-house collection that align with the requested look. Should any wardrobe needs exceed what is available in inventory, such as specialty garments, sizing requirements, or theme-specific items, Stadium Dance will source additional pieces, subject to availability and timeline constraints. Any additional wardrobe sourcing, purchasing, or rental costs will be invoiced to the Company once finalized. Stadium Dance maintains full creative and logistical control over final wardrobe selection to ensure performers can move safely, comfortably, and consistently within choreography and staging requirements. FOOTWEAR POLICY Footwear for all performers will consist of sneakers or dance shoes appropriate for the choreography and the booth’s flooring conditions, unless specialty footwear is required for safety reasons or based on movement demands. Because certain skills - such as breakdancing, power moves, tricks, slides, spins, turns, or floorwork, require specific traction, support, and sole flexibility, talent footwear requests will always carry significant weight in the final wardrobe decision. Performer safety and the ability to execute choreography at a professional standard will take precedence over aesthetic considerations. All footwear selections must be approved by Stadium Dance to ensure safety, consistency, and compatibility with the booth surface. If specialty shoes are required to support high-skill movement or to prevent injury, Stadium Dance will coordinate these options and invoice the Company accordingly. COSTUME MAINTENANCE, HANDLING & CUSTODY Performers do not launder or maintain their own costumes. All costume care, laundering, and maintenance are handled exclusively by Stadium Dance after each dress rehearsal and performance. Stadium Dance retains full custody of all wardrobe items, distributes costumes at Call Time, and collects them immediately after the final performance. This protocol aligns with established industry standards. Costumes are cleaned nightly to ensure proper laundering, pressing, and preparation for subsequent use. For formal or specialty garments requiring dry cleaning, multiple duplicates will be secured to ensure clean, ready-to-wear options each day. Additional fees may apply for costumes requiring more than a 24-hour professional cleaning turnaround. COSTUME PRICING General Costumes: Standard in-house costume looks (options on this page) start at $100 per costume, per dancer, per event day. This includes selection, sourcing, coordination, steaming, styling, maintenance, cleaning, transportation, on-site distribution, and post-performance collection. Advanced / Specialty Costumes: Premium, themed, custom, or specialty wardrobe looks start at $150 per costume, per dancer. A creative meeting is required to determine the direction, after which an official quote will be provided based on materials, complexity, and design requirements. Costume Management & Control All wardrobe logistics, including selection, fitting, styling, adjustments, delivery, on-site handling, and cleaning, are controlled solely by Stadium Dance. Any additional wardrobe needs, creative revisions, customizations, or specialty items may incur additional costs depending on scope and materials. View Our In-House Costume Options In-house options vary based on talent booked, sizing available, ordering/ shipping timelines, and current pricing. If items are not available in required sizes, another in-house option of similar style will be used. List available upon request. CASTING, ROUTINES & PERFORMANCE ADJUSTMENTS ADDING DANCERS Subject to availability. Requests to add dancers after booking will be accommodated whenever possible, subject to talent availability. Once a contract has been signed and work has commenced (including choreography, casting, costuming, and rehearsal scheduling), reducing the number of dancers is not allowed. This is to ensure fairness to performers and account for time and labor already invested. Any requests made within 14 days of the event will incur a rush choreography/editing fee, due to increased rehearsal and production demands. Additional fees will be due in full. Changes requested less than 30 days before the event may incur additional fees and are subject to approval based on schedule, complexity, and staffing availability. These will be subject to a rush or revision fee to cover additional coordination, choreography modifications, rehearsals, or costuming needs. Fees will be communicated to the Client in writing and must be approved prior to implementation. CREATIVE CONTROL & PROFESSIONAL AUTHORITY POLICY CREATIVE AUTHORITY By booking Stadium Dance, the Client acknowledges: Stadium Dance is being hired as an industry expert. Choreography, movement, staging, formations, stylistic choices, and artistic direction are entirely at the discretion of the Choreographer/Director. Creative meetings are for overall vision, not step-by-step direction. MICRO-DIRECTION Clients, partners, teams, brand representatives, or marketing departments may not: Dictate specific choreography, Request step patterns, Provide move-by-move corrections, Override professional creative choices, Attempt to choreograph the performance themselves. Stadium Dance does not work under client micromanagement or committee choreography. RESPECT FOR PROFESSIONAL EXPERTISE Just as it would be inappropriate for a client to instruct an engineer on technical calculations, direct a medical professional during a procedure, or dictate the artistic means by which a painter must execute their work, the same principle applies to the creative process at Stadium Dance. With more than 20 years of verified industry experience, our team consists of working professionals whose careers, reputations, and livelihoods are rooted in this artform. By engaging Stadium Dance, the Client expressly agrees to respect the full creative authority of the Director and acknowledges that all artistic decisions - including choreography, movement vocabulary, staging, creative interpretation, and stylistic execution—are solely at the discretion of Stadium Dance. Any attempts to override, control, or direct the creative process constitute a breach of this agreement. BREACH OF CREATIVE AUTHORITY If a client attempts to override choreography, direct dancers, or force creative changes outside the agreed vision, Stadium Dance may: Terminate the project, Withdraw talent, Halt rehearsals, Retain all paid funds. ARRIVAL, DEPARTURE & ON-SITE PERFORMANCE POLICY Performers will arrive at the event venue 1–2 hours prior to the scheduled performance time at the designated meeting location. This call time allows for costume changes, warm-up, and final instructions. Exact arrival time may vary depending on the choreography, services booked, or event requirements. Performers will depart immediately after the final performance unless otherwise instructed by the on-site manager, choreographer, or event director. PERFORMANCE WINDOW (STANDARD ON-SITE TIME) The standard on-site time included in your booking—referred to as the Performance Window—includes: One (1) hour of pre-performance call time for wardrobe, warm-up, and final notes. Active performance time, continuing until the final routine is completed. ADDITIONAL ON-SITE TIME & FEES Any time required outside of this Performance Window will be considered additional on-site time and will incur extra charges. This applies to, but is not limited to: Early arrival or extended call times requested by the Client Gaps or delays between routines or event segments that were not previously approved Technical or stage rehearsals added after the contract is signed Event schedule delays caused by the venue or production team Additional on-site rehearsal or staging requirements CLIENT-CAUSED DELAYS If the event runs behind schedule due to venue or client delays, the following apply: Additional on-site time fees begin automatically once the booked time is exceeded. Talent availability beyond the booked window is not guaranteed. NON-PERFORMANCE DUE TO OVERRUNS If an event runs so late that dancers cannot perform within the original time window: Stadium Dance is not liable for non-performance. All payments remain non-refundable. REHEARSAL / CALL TIME CHANGES Any changes to call time must be approved in writing. Unapproved changes may result in additional billing or reduced performance time. BILLING TERMS FOR ADDITIONAL TIME: Additional on-site time is billed per hour, per dancer (and applicable staff). One-hour minimum applies to all additional on-site charges. After the first hour, time is billed in 30-minute increments. All additional time must be approved in advance, unless requested during the event, in which case it will be invoiced within 24 hours and due upon receipt. ADDITIONAL SERVICES REQUESTED ON-SITE Any additional services requested on the day of the event, such as extended performance duration, added dancers, extra routines, early call times, or specialty appearances—will be invoiced within 24 hours and are due upon receipt. REVISIONS, CHANGE REQUESTS & CHOREOGRAPHY ALTERATIONS We approach every project with intention, care, and passion, and it is a privilege to collaborate with a team that values creativity and innovation as deeply as we do. Creating performances that energize live environments is our profession, and we do not stop until the work is right. Choreography is developed exclusively from the written instructions, product details, staging limitations, and creative direction provided by the Company prior to the start of choreography. These instructions form the complete foundation for all movement, transitions, staging, spacing, and conceptual elements. Any changes to these instructions after choreography development has begun may require additional rehearsal hours and revision fees. Internal Rehearsal Process & When Videos Are Shared Within our cast, we regularly exchange rehearsal videos to refine choreography, clean sections, adjust timing, and make internal creative notes. These videos are strictly for internal use and are not indicative of final performance quality, appearance, spacing, staging, or energy. Early rehearsal footage often lacks polish and may be difficult to visualize outside the final event environment—much like viewing a home before the walls and finishes are installed. If the Company requires rehearsal videos for internal approval or client review, the following applies: Videos will only be shared once choreography has been fully created, taught, rehearsed, and cleaned, and once dancers have learned spacing and blocking to a level that accurately reflects the intended performance. These videos will not be recorded in final costume or in the event performance space, unless recorded during on-site rehearsals. Videos are provided for visibility only, not for creative direction, stylistic revision, or subjective feedback. Feedback is only accepted if it pertains to specific technical requirements that were communicated in writing before choreography development began. Requests for additional videos, reshoots, alternative angles, or repeated review cycles will be billed at the contracted rehearsal hourly rate. Because choreography cannot be fully understood until spacing, environment, and performance energy are layered together, we strongly encourage final review during the on-site dress rehearsal, where conditions most closely match the live performance. Creative Direction & Client Expectations To maintain artistic consistency, safety, and production efficiency, all creative movement decisions—including transitions, musicality, dynamics, formations, spacing, and expressive choices—are entrusted to the choreographer and performers unless specific requirements were submitted in writing prior to choreography development. The following items do not qualify for complimentary revisions: Creative preferences or changes in taste not communicated prior to the start of choreography Requests based on stylistic opinions rather than technical necessity Feedback derived from early-stage rehearsal footage Subjective suggestions such as “try something different” without clear, actionable requirements Changes driven by booth layout adjustments or product placement revisions Stadium Dance is committed to delivering work that aligns with the Client’s vision; however, late-stage creative expectations or directional changes fall under billable revisions. Revision Policy & Billing Structure If choreography must be changed due to new creative direction, added product requirements, or client-requested modifications outside the approved scope, revision time will be billed as follows: 0–8 counts changed → 1 hour billed 9–16 counts changed → 2 hours billed 17–32 counts changed → 3 hours billed +1 hour for each additional 8–16 counts Revision costs increase proportionally with the number of dancers, as all changes must be re-taught, re-cleaned, and re-blocked for the full cast. Revisions vs. Errors (Clarification) A true discrepancy is defined as a factual mistake made by the choreographer, including: Incorrect musical cueing Misalignment with written instructions explicitly approved prior to choreography A discrepancy does not include: Stylistic or interpretive preferences Changes in artistic taste Desired adjustments that were not communicated before choreography development began If the choreography matches the approved direction and written requirements, but the Company later requests changes for preference-based reasons, these changes are considered paid revisions. While Stadium Dance has never encountered a dispute of this nature, this policy ensures fairness, transparency, and aligned expectations for both parties. CREATIVE MEETINGS, APPROVAL PROCESS & CLIENT POINT OF CONTACT INCLUDED CREATIVE MEETINGS Your booking includes a minimum of one creative meeting (up to 30 minutes) Unless otherwise stated in contract. ADDITIONAL MEETINGS Additional meetings, calls, creative sessions, or approvals are billed at the standard hourly rate per creative director or producer. SINGLE POINT OF CONTACT To avoid conflicting requests: *Clients must designate one single authorized representative who provides all creative notes and approvals. Conflicting notes from multiple client members will not be considered. Changes requested less than 30 days before the event may incur additional fees and are subject to approval based on schedule, complexity, and staffing availability. OVERTIME POLICY Overtime Policy The contracted day rate for all Stadium Dance performers, choreographers, assistants, and representatives (“Talent”) includes up to eight (8) consecutive hours of on-site time per day, measured from the official call time (“On-Site Call Time”) to the official wrap time (“Out Time”). All time spent on-site—including, without limitation, hair, makeup, wardrobe, warm-up, rehearsals, spacing, staging, breaks, waiting periods, and performances—counts toward the total contracted hours unless a specific unpaid break has been mutually agreed upon in writing. DEFINITION OF OVERTIME Overtime (“OT”) is defined as any on-site time exceeding eight (8) consecutive hours on a given event or rehearsal day. Overtime is billed at the applicable hourly rate per person for each hour or portion of an hour beyond the initial 8-hour window. Performer overtime rate: $125/hour per person (unless otherwise noted in the project quote) Choreographer/Director overtime rate: $125/hour Assistant Choreographer overtime rate: $75/hour All overtime is rounded up to the next full hour. ACTIVITIES INCLUDED IN HOUR CALCULATION The following activities are fully included in the on-site hour count and will trigger overtime if they extend beyond the contracted period: Hair, makeup, grooming, costuming, and styling Warm-up, stretching, and preparation Wardrobe changes Rehearsal, tech, spacing, and blocking Downtime, waiting periods, booth holds, or production delays Performance sets Breaks (including lunch) unless a specific unpaid break is agreed in writing Resetting the space or preparing for subsequent sets Wrap-down, changing, gathering belongings, and exit procedures The client acknowledges that any time talent is required to remain on-site is considered paid time. OVERTIME TRIGGERS Overtime will apply in any of the following circumstances: Earlier call time than originally confirmed Later wrap time than originally confirmed Delays caused by the client, venue, production, staff, booth readiness, AV team, vendors, or third parties Extended performance windows or additional sets requested by client Changes to the event schedule that lengthen the day Unanticipated production delays requiring Talent to remain on-site Non-continuous schedules that extend the total on-site window Failure to release Talent at the scheduled Out Time Client agrees that delays outside Contractor’s control remain billable. ADVANCE NOTICE AND APPROVAL The contractor will make reasonable efforts to notify the client in advance when overtime is anticipated. However: If schedule changes or delays occur on-site that immediately require additional time, Talent will not be required to pause work to obtain approval before remaining on-site. The client agrees to pay all overtime even if approval cannot be provided in real time due to production urgency, safety concerns, or scheduling constraints. The client understands that talent cannot leave the event space without explicit release by the Contractor. CONSECUTIVE TIME REQUIREMENT All on-site time must be scheduled as one continuous block. Splitting the day into separate sessions does not reset or reduce the 8-hour count. Example: If Talent is required 9:00 AM–12:00 PM, then returns for 3:00 PM–6:00 PM, the total on-site window is 9 hours, resulting in 1 hour of overtime. MINIMUM CALL EXTENSIONS Any extension beyond the contracted Out Time automatically incurs a minimum of one (1) overtime hour per person, even if the extension is less than one hour. BILLING AND PAYMENT Overtime will be invoiced to the Company within 24 hours of the event day. Overtime fees are due upon receipt. Failure to pay overtime may result in suspension of services, cancellation of future appearances, or legal/collection action as outlined in the Payment & Non-Payment Policy. NON-NEGOTIABILITY Company acknowledges and agrees: This Overtime Policy is non-negotiable Overtime fees must be honored regardless of circumstance Contractor is not responsible for production delays or schedule changes caused by the Company or third parties Talent safety, readiness, and contractual rest periods take priority ACCEPTANCE By booking Stadium Dance, paying any deposit, signing any agreement, or using Stadium Dance services, the Client agrees to be bound by all Terms & Policies contained herein.
