CREATIVE AUTHORITY & COLLABORATION POLICY By engaging Stadium Dance, the Client acknowledges that our team is retained for its professional expertise and creative leadership. All choreography, movement vocabulary, staging, formations, stylistic choices, and overall artistic direction are determined solely by the Stadium Dance Choreographer and Director. Creative meetings are intended to align on overall theme, vision, brand objectives, and key messaging. These meetings are collaborative in nature but do not permit the Client to direct choreography on a step-by-step basis or dictate specific movement execution. CREATIVE BOUNDARIES & DECISION-MAKING To ensure a smooth, respectful, and creatively successful process, the Client including but not limited to internal teams, brand representatives, agencies, marketing personnel, partners, or third-party stakeholders may not: Dictate specific choreography Request step patterns or move-by-move execution Provide real-time or detailed movement corrections Override the artistic decisions of the Choreographer or Director Attempt to choreograph, restructure, or micromanage the performance Stadium Dance does not operate under micromanagement or committee-led creative structures. PROFESSIONAL EXPERTISE & ARTISTIC INTEGRITY Our creative team brings more than twenty (20) years of professional experience and approaches each project with care, intention, and expertise. Just as one would not direct an engineer’s technical calculations, a medical professional’s procedures, or a painter’s artistic technique, the Client agrees that all artistic decisions including choreography, staging, transitions, interpretation, musicality, and stylistic execution are the exclusive responsibility of Stadium Dance. These boundaries exist to protect the integrity of the creative process, performer safety and well-being, consistency and professional performance quality, and the overall success of the final presentation. NON-COMPLIANCE & CREATIVE INTERFERENCE If the Client attempts to direct choreography, instruct dancers directly, or impose creative changes outside of the mutually approved vision, Stadium Dance reserves the right, at its sole discretion, to pause or terminate the project, halt rehearsals, withdraw Talent, and retain all payments made to date. These measures are in place to protect the creative process, professional standards, and the well-being of performers. COLLABORATION & CLIENT EXPERIENCE Stadium Dance is fully committed to working collaboratively with every Client to ensure expectations are met and exceptional performances are delivered. Customer service is a core priority, and we value open communication, transparency, and mutual respect throughout the creative process. Clients are encouraged to participate in the creative journey through appropriate channels. Stadium Dance welcomes Clients to attend a rehearsal virtually via Zoom to observe a run-through, meet the dancers, and view creative progress. It is an honor to create memorable experiences for your guests, and we are sincerely grateful for the opportunity to be part of any event. ARRIVAL, DEPARTURE & ON-SITE PERFORMANCE POLICY Performers will arrive at the event venue one (1) to two (2) hours prior to the scheduled performance time at the designated meeting location. This Call Time allows for wardrobe changes, warm-up, and final instructions. Exact arrival time may vary based on choreography, services booked, or event requirements. Performers will depart immediately following the final performance unless otherwise instructed by the on-site manager, choreographer, or event director. PERFORMANCE WINDOW (STANDARD ON-SITE TIME) The standard on-site time included in the booking, referred to as the Performance Window, includes one (1) hour of pre-performance Call Time for wardrobe, warm-up, and final notes, followed by active performance time continuing until the final routine is completed. ADDITIONAL ON-SITE TIME & FEES Any time required outside of the Performance Window is considered additional on-site time and will incur extra charges. This includes early arrival or extended Call Times requested by the Client, gaps or delays between routines or event segments not previously approved, technical or stage rehearsals added after contract signing, event schedule delays caused by the Client, venue, or production team, and additional on-site rehearsal or staging requirements. CLIENT-CAUSED DELAYS If the event runs behind schedule due to Client or venue delays, additional on-site time fees begin automatically once the booked time is exceeded. Talent availability beyond the booked Performance Window is not guaranteed. NON-PERFORMANCE DUE TO OVERRUNS If the event runs so late that performers cannot perform within the original Performance Window, Stadium Dance is not liable for non-performance and all payments remain non-refundable. REHEARSAL & CALL TIME CHANGES Any changes to Call Time must be approved in writing. Unapproved changes may result in additional billing or reduced performance time. BILLING TERMS FOR ADDITIONAL TIME Additional on-site time is billed per hour, per dancer (and applicable staff), with a one (1) hour minimum and in 30-minute increments after the first hour. All additional time must be approved in advance unless requested during the event. On-site requests will be invoiced within twenty-four (24) hours and are due upon receipt. ADDITIONAL SERVICES REQUESTED ON-SITE Any additional services requested on the event day—including extended performance duration, added dancers, extra routines, early Call Times, or specialty appearances—will be invoiced within twenty-four (24) hours and are due upon receipt. REVISIONS, CHANGE REQUESTS & CHOREOGRAPHY ALTERATIONS We approach every project with intention, care, and passion, and it is a privilege to collaborate with a team that values creativity and innovation as deeply as we do. Creating performances that energize live environments is our profession, and we do not stop until the work is right. Choreography is developed exclusively from the written instructions, product details, staging limitations, and creative direction provided by the Company prior to the start of choreography. These instructions form the complete foundation for all movement, transitions, staging, spacing, and conceptual elements. Any changes to these instructions after choreography development has begun may require additional rehearsal hours and revision fees. Internal Rehearsal Process & When Videos Are Shared Within our cast, we regularly exchange rehearsal videos to refine choreography, clean sections, adjust timing, and make internal creative notes. These videos are strictly for internal use and are not indicative of final performance quality, appearance, spacing, staging, or energy. Early rehearsal footage often lacks polish and may be difficult to visualize outside the final event environment—much like viewing a home before the walls and finishes are installed. If the Company requires rehearsal videos for internal approval or client review, the following applies: Videos will only be shared once choreography has been fully created, taught, rehearsed, and cleaned, and once dancers have learned spacing and blocking to a level that accurately reflects the intended performance. These videos will not be recorded in final costume or in the event performance space, unless recorded during on-site rehearsals. Videos are provided for visibility only, not for creative direction, stylistic revision, or subjective feedback. Feedback is only accepted if it pertains to specific technical requirements that were communicated in writing before choreography development began. Requests for additional videos, reshoots, alternative angles, or repeated review cycles will be billed at the contracted rehearsal hourly rate. Because choreography cannot be fully understood until spacing, environment, and performance energy are layered together, we strongly encourage final review during the on-site dress rehearsal, where conditions most closely match the live performance. Creative Direction & Client Expectations To maintain artistic consistency, safety, and production efficiency, all creative movement decisions—including transitions, musicality, dynamics, formations, spacing, and expressive choices—are entrusted to the choreographer and performers unless specific requirements were submitted in writing prior to choreography development. The following items do not qualify for complimentary revisions: Creative preferences or changes in taste not communicated prior to the start of choreography Requests based on stylistic opinions rather than technical necessity Feedback derived from early-stage rehearsal footage Subjective suggestions such as “try something different” without clear, actionable requirements Changes driven by booth layout adjustments or product placement revisions Stadium Dance is committed to delivering work that aligns with the Client’s vision; however, late-stage creative expectations or directional changes fall under billable revisions. Revision Policy & Billing Structure If choreography must be changed due to new creative direction, added product requirements, or client-requested modifications outside the approved scope, revision time will be billed as follows: 0–8 counts changed → 1 hour billed 9–16 counts changed → 2 hours billed 17–32 counts changed → 3 hours billed +1 hour for each additional 8–16 counts Revision costs increase proportionally with the number of dancers, as all changes must be re-taught, re-cleaned, and re-blocked for the full cast. Revisions vs. Errors (Clarification) A true discrepancy is defined as a factual mistake made by the choreographer, including: Incorrect musical cueing Misalignment with written instructions explicitly approved prior to choreography A discrepancy does not include: Stylistic or interpretive preferences Changes in artistic taste Desired adjustments that were not communicated before choreography development began If the choreography matches the approved direction and written requirements, but the Company later requests changes for preference-based reasons, these changes are considered paid revisions. While Stadium Dance has never encountered a dispute of this nature, this policy ensures fairness, transparency, and aligned expectations for both parties. CREATIVE MEETINGS, APPROVAL PROCESS & CLIENT POINT OF CONTACT Your booking includes one (1) creative meeting, up to 30 minutes, unless otherwise stated in the contract. Any additional meetings, calls, creative sessions, or approval discussions are billed at the standard hourly rate per creative director or producer. To avoid conflicting requests and delays, the Client must designate one single authorized point of contact who is responsible for providing all creative notes, feedback, and approvals. Conflicting instructions or feedback from multiple Client representatives will not be considered. CAST, ROUTINE & PERFORMANCE ADJUSTMENTS POLICY Adding Dancers: Requests to add dancers after booking will be accommodated whenever possible, subject to talent availability. Additional dancers will incur extra fees. All requests must be made no later than 30 days prior to the event to ensure proper scheduling, choreography, and costume preparation. Requests made within 30 days of the event are considered last-minute and may be subject to a rush/revision fee. Reducing Dancers (Not Permitted): Once a contract has been signed and work has commenced (including choreography, casting, costuming, and rehearsal scheduling), reducing the number of dancers is not allowed. This is to ensure fairness to performers and account for time and labor already invested. Adding Routines or Performance Segments: Additional routines may be added with written approval and are subject to talent availability and time for rehearsal. Requests must be made at least 14 days before the event. Any requests made within 14 days of the event will incur a rush choreography/editing fee, due to increased rehearsal and production demands. Additional fees will be due in full. Changes to Performance Duration or Structure: Extending or shortening the performance, altering segment timing, or changing the number of routines may require: A revised quote or updated contract, Additional rehearsal/staging time, Additional staffing or choreography adjustments. All such changes must be approved in advance, ideally no later than 30 days prior to the event. Changes requested less than 30 days before the event may incur additional fees and are subject to approval based on schedule, complexity, and staffing availability. These will be subject to a rush or revision fee to cover additional coordination, choreography modifications, rehearsals, or costuming needs. Fees will be communicated to the Client in writing and must be approved prior to implementation. MUSIC POLICY This Music Policy applies to all bookings. Music selection, editing, licensing, and delivery directly affect choreography, rehearsal scheduling, and performance execution. To ensure professional standards and legal compliance, the Client agrees to the following terms in full. CLIENT-PROVIDED MUSIC Format Requirements If the agreement states that the Client will provide music, the Client must supply final .mp3 files only (no links, streams, or incompatible formats). All music must be professionally mixed, edited, and performance-ready, and delivered to info@stadiumdance.com within the required timeline. Responsibility for Music Rights The Client is solely responsible for securing all required music rights and permissions, including but not limited to synchronization, mechanical, streaming, broadcast, film, and digital distribution rights. Timeliness Music must be delivered before choreography begins. Late delivery may delay choreography, incur rush choreography or editing fees, and limit creative or technical options. SWITCHING FROM CLIENT-PROVIDED MUSIC TO STADIUM DANCE MUSIC If the Client initially elects to provide music and later requests that Stadium Dance curate or select music, a non-refundable Music Curation Fee of $200 will apply. This fee includes researching and sourcing viable tracks, creating a curated list of up to five (5) recommended songs, and reviewing genre, vibe, tempo, energy, and brand requirements. Any editing, timing adjustments, or cuts required for curated music will incur additional Music Editing Fees. MUSIC DIRECTION REQUIREMENTS Before booking, the Client must provide clear music direction, including genre, tempo range, energy level, brand tone or theme, desired performance style, restrictions on language or explicit content, and any relevant event demographic, lighting, or mood considerations. Failure to provide clear direction may limit available music options, extend the curation timeline, or result in additional fees. Music selection directly impacts the tone, pacing, and choreography style of the performance. MUSIC EDITING FEES & REQUIREMENTS Music editing—including cutting, blending, restructuring, or preparing tracks for choreography—is billed starting at $100 per hour, with billing in 30-minute increments after the first hour. Editing services may include timing adjustments, section removals, tempo modifications (when possible), multi-song transitions, volume balancing, and custom mixes. When necessary, Stadium Dance may engage or refer a trusted DJ or producer. All third-party DJ or producer fees are the responsibility of the Client and are paid directly to the provider. CUSTOM MUSIC REQUESTS Any custom music mix or specialized editing must be discussed and approved prior to booking. Extensive editing, including complex multi-track mixes or time-intensive production changes, may be completed by Stadium Dance or a professional music producer and may require revision fees, additional rehearsal time, or modified choreography timelines. All additional fees must be paid before choreography continues. MUSIC DELIVERY & APPROVAL PROCESS Once finalized, the approved .mp3 file will be delivered to the Client or production team. The Client is responsible for fully reviewing and approving the music, verifying audio quality, confirming correct playback and volume levels, confirming system compatibility, and providing written approval (email acceptable). Any changes requested after approval will incur additional editing fees, may impact rehearsal timelines, and must be paid before further work continues. The Client assumes full responsibility for verifying the final audio file. EDITING, TIMING & REHEARSAL CONSIDERATIONS Final music must match the exact length agreed upon during booking. Changes to music length may require new choreography, additional rehearsal time, and additional fees. If timelines are short, Stadium Dance may decline extensive edits or require the Client to provide a shorter or simplified track to ensure adequate rehearsal time. Delays in music approval or delivery may delay choreography, casting, or rehearsal scheduling without liability to Stadium Dance. MUSIC CHANGES Music changes may be requested up to thirty (30) days prior to the event. Requests submitted within 30 days may not be guaranteed and may incur additional editing, rush, and rehearsal labor fees. Changes submitted within fourteen (14) days are considered last-minute, are subject to rush fees, and may be declined if they jeopardize performance readiness. MUSIC LICENSING & USE Most live, in-person performances fall under the venue’s existing Performance Rights Organization (PRO) license (ASCAP, BMI, SESAC), including arenas, stadiums, conventions, corporate events, and live non-streamed shows. If music is used for live streaming, television, film, commercials, public distribution, social media campaigns, digital placements, recordings, or paid advertising, the Client is solely responsible for securing all required licenses. Stadium Dance does not provide, secure, or advise on music licensing. Improper licensing may result in muted or blocked livestreams, removal of recorded content, fines, legal consequences, or inability to perform. Stadium Dance bears no liability for losses caused by improper licensing. The Client is solely responsible for obtaining synchronization, mechanical, streaming, broadcast, film, commercial, and influencer or social media usage licenses. Failure to obtain proper licensing may delay performance delivery, restrict recording or streaming, or forfeit the Client’s right to use the choreography with the selected music. VENUE MUSIC REGULATIONS The Client must consult with the venue regarding playback rules, streaming limitations, system compatibility, file format requirements, volume restrictions, copyright compliance, and any required advance audio testing. Stadium Dance is not responsible for venue restrictions or technical failures. FAILURE TO COMPLY If the Client fails to meet any requirement of this Music Policy, Stadium Dance may delay choreography, refuse music edits or changes, charge applicable rush or editing fees, halt rehearsals, or decline to perform if conditions render the performance infeasible. All time spent on-site—including, without limitation, hair, makeup, wardrobe, warm-up, rehearsals, spacing, staging, breaks, waiting periods, and performances—counts toward the total contracted hours unless a specific unpaid break has been mutually agreed upon in writing. DEFINITION OF OVERTIME Overtime (“OT”) is defined as any on-site time exceeding eight (8) consecutive hours on a given event or rehearsal day. Overtime is billed at the applicable hourly rate per person for each hour or portion of an hour beyond the initial 8-hour window. Performer overtime rate: $125/hour per person (unless otherwise noted in the project quote) Choreographer/Director overtime rate: $125/hour Assistant Choreographer overtime rate: $75/hour All overtime is rounded up to the next full hour. ACTIVITIES INCLUDED IN HOUR CALCULATION The following activities are fully included in the on-site hour count and will trigger overtime if they extend beyond the contracted period: Hair, makeup, grooming, costuming, and styling Warm-up, stretching, and preparation Wardrobe changes Rehearsal, tech, spacing, and blocking Downtime, waiting periods, booth holds, or production delays Performance sets Breaks (including lunch) unless a specific unpaid break is agreed in writing Resetting the space or preparing for subsequent sets Wrap-down, changing, gathering belongings, and exit procedures The client acknowledges that any time talent is required to remain on-site is considered paid time. ADVANCE NOTICE AND APPROVAL The contractor will make reasonable efforts to notify the client in advance when overtime is anticipated. The client understands that talent cannot leave the event space without explicit release by the Contractor. CONSECUTIVE TIME REQUIREMENT All on-site time must be scheduled as one continuous block. Splitting the day into separate sessions does not reset or reduce the 8-hour count. Example: If Talent is required 9:00 AM–12:00 PM, then returns for 3:00 PM–6:00 PM, the total on-site window is 9 hours, resulting in 1 hour of overtime. MINIMUM CALL EXTENSIONS Any extension beyond the contracted Out Time automatically incurs a minimum of one (1) overtime hour per person, even if the extension is less than one hour. BILLING AND PAYMENT Overtime will be invoiced to the Company within 24 hours of the event day. Overtime fees are due upon receipt. Failure to pay overtime may result in suspension of services, cancellation of future appearances, or legal/collection action as outlined in the Payment & Non-Payment Policy.
